Job Title: Office CoordinatorReports To: Human ResourcesClassification: Non-ExemptLocation: Gainesville, FLSummaryInceptor Bio is seeking a high performing, self-motivated Office Coordinator. The Office Coordinator will be responsible for all administrative duties, both strategic and complex. Activities include receptionist duties, scheduling internal and external meetings, supporting the interview process, maintain office supplies, planning and organizing employee engagement events, and supporting projects as needed. This role will be privy to sensitive company knowledge and must maintain confidentiality. The Office Coordinator will interact with all levels within and outside of the organization, provide assistance, answering questions, and facilitating departmental operations. This role is also responsible for ordering and stocking supplies for all office equipment and managing vendor relationships and agreements.Essential Duties and Responsibilities

  • Manage all day-to-day administrative operations to ensure departmental commitments and deliverables are achieved to meet company objectives.
  • Arrange and coordinate all facility events
  • Greet visitors and answer phones
  • Coordinate and manage employee engagement and site events
  • Support preparation of presentations, reports, and assist in managing projects
  • Support external vendors, i.e., making travel and guest arrangements
  • Support new hire and contractor onboarding, as well as internal moves or changes
  • Manage meeting logistics; invitations, room reservations, arrange catering, etc.
  • Assist with setup an disassemble meeting rooms, as needed
  • Schedule appointments and interviews for management and staff
  • Ensure break rooms and mail rooms are maintained and stocked; includes ordering and replacing toners in copiers/printers and ordering office supplies
  • Make and expense travel arrangements for employees and candidatesQualifications
    • High School Diploma
    • Minimum of 2 years administrative experience in a fast-paced office environment
    • Advanced knowledge of MS Word, MS Excel, MS PowerPoint, and MS Outlook
    • Demonstrate a high degree of integrity in working with very confidential and sensitive company and employee information
    • Proficient in all Microsoft Office applications including MS Excel, MS Word, MS PowerPoint and MS Outlook
    • Ability to prioritize, plan, organize and manage details in a fast-paced environment while exercising sound judgement and excellent problem-solving skills
    • Ability to grasp complex tasks and carry out directions independently
    • Strong experience in crafting documents and presentations
    • Strong interpersonal skillsTravel Requirements
