Position Title: Office CoordinatorDepartment: ServicesReports To: Director of ServicesClassification: Non-ExemptLocation: On-site in Gainesville, FLExpected Salary: $16.83 - $19.23 per hour
Basic Function/Job Overview:Responsible for providing clerical and administrative support including database entry and management of association's daily physical operations and services areas, and directing all incoming communications. -Primary Job Responsibilities: - - - - - - -Welcomes guests and visitors by greeting them, in person or on the telephone, and answering or directing inquiries. - - - - - - - -Monitor voicemail system and relay messages accordingly and regularly throughout the day. - - - - - - - -Monitor fax machine, direct incoming documents and send documents as requested. - - - - - - - -Open and distribute incoming mail/packages and process outgoing mail including arranging for courier pickup and delivering regular mail to post office. - - - - - - -Prepare bank deposits, make copies of all checks and maintain current files of deposits. - - - - - - - -Maintain association membership directory and assist with maintenance of prospect firm database. - - - - - - - -Regularly cross check member firms' websites to ensure accuracy in association member directory for names, titles, accreditations and firm information and services - - - - - - - -Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies and verifying receipt of supplies. - - - - - - - -Assist services and events as needed including conference attendee communications, logistical support for meeting materials, and association events and training member support. - - - - - - -Assist in coordinating various employee engagement activities. - - - - - - - -Be familiar with CPAmerica services and members to best meet member needs. -Required Knowledge and Skills: - - - - - - -Technologically proficient with in depth understanding of entire MS Office suite - - - - - - -Professional level written and verbal communication skills - - - Telephone etiquette and general customer service skills - - - - - - Highly organized with strong time management skills and ability to multi-task -Desired Knowledge and Skills: - - - - - - -Become aware of names of member firms' key personnel including Leading Partners, their assistants, Firm Administrators and active partners.
Experience Required or Educational Equivalent:

  • Required: -High School diploma or equivalent
  • Preferred: -Prior receptionist and general office experience
