Research Administrator II Job no: Work type: Staff Full-Time Location: Main Campus (Gainesville, FL) Categories: Agriculture/Life Science/Vet Medicine, Research/Scientific/Grants Department: - PH-SHARED SERVICE CENTER Classification Title: Research Administrator II Job Description: The Research Administrator II serves as a subject matter expert and provides coordination to the shared service center team and College of Pharmacy faculty and staff with regards to the management of Contracts and Grants. This position's responsibilities focus on the grant life cycle, from proposal submission to close out. The SSC Research Administration II facilitates the advancement of service delivery and efficiency and provides policy and procedure interpretation to College faculty and staff. Responsible for maintaining customer focused relationships with the units served. Responsible for the development, management, and transmittal of contract and grant proposals to federal, state, and private funding agencies. Works as a liaison for College of Pharmacy faculty and staff and the Division of Sponsored Research for pre-award actions. Reviews contract and grant program announcements for compliance with sponsor and University terms and regulations, and reviews term outlining the negotiation and acceptance of resulting grant awards. Proposal submission includes review of, formatting and uploading documents, budget preparation, entry and routing of proposals in UFIRST or other applicable submission modules, and coordinating all aspects of the proposal submission to insure thorough and timely submission to the Division of Sponsored Research for review and submission to the funding agency. Monitor grant progress and compliance with agency documentation requests. Responsible for post-award management of grants and contracts. Responsible for completion of information and collection of needed documentation required on behalf of the College required for UFIRST Awards module set up. Awards set up includes but is not limited to: associated subproject set up, associated sub-award agreement set-up, establishment of needed effort commitments for key personnel, and set up of F & A Center designations. Initiates NOA review and payroll distributions per the award budget, Provides accounts payable support and control for sponsored projects. This includes but is not limited to: providing transaction approvals to the SSC fiscal team in compliance with the rules and regulations outlined by the funding agency and the University, facilitating no cost extension and carry-forward requests, assisting with CAS exemption requests, initiating requests for budget/cost transfers, facilitate close outs, and monitor cost sharing requirements. Provides Principal Investigators with monthly reports to ensure expenses are being paid according to grant/contract budget and agency guidelines and meets with the PIs as requested to review report data and address questions or concerns. Assists faculty with agency progress and final reports. Oversees sub-award invoice certifications by faculty. Provides contract and grant information for semester faculty activity reports, and completes semester contract and grant effort reporting. Assists with monitoring of IRB and IACUC deadlines in collaboration with the College's compliance officer. Assists Center Director faculty with annual Center reports. Provides contract and grant associated information for Tenure and Promotion and annual evaluation packets. Provides assistance to the Assistant Director, Research Administration/SSC Research Team Lead and Associate Dean for Research and Graduate Education with reporting requests or other special project endeavors as requested. Projects include but are not limited to: assisting faculty with the identification of applicable funding opportunities. Soliciting requests for and maintaining the College's Biosketch and Other Support libraries. Expected Salary: $50,000 - $62,000 annually Minimum Requirements: Bachelor's degree and two years of experience in grant and contract administration; or an equivalent combination of education and experience. Preferred Qualifications: * Must possess critical thinking skills. * Analytical and problem-solving skills, including researching and analyzing complex data to develop accurate reports. * Must be able to work well in a team environment. * Take ownership of the resolution of problems, be flexible and accountable, manage conflicting responsibilities, prioritize tasks, and consistently meet deadlines. * Must be self-motivated and capable of working independently. * Experience with MYUFL, Microsoft Office programs, CAYUSE, MYINVESTIGATOR,fund accounting and/or Human Resource Services * Employee will be a part of a highly paced shared services center and should be an excellent team member who can work well with others to form a cohesive and effective Grant Management office. * Employee should be flexible and willing to make adjustments to existing procedures as requested. * Employee should be able to train up quickly in all areas and cross train as needed. * Employee should have a positive attitude and be able to proactively identify best practices and share those with the team. * Employee should form good relationships with staff in the COP and work in tandem with them to streamline and standardize all processes. * Frequent contact with internal and external customers to include faculty, staff, and students, other departments, vendors, and other Universities.
