JOB DUTIES: GENERAL STATEMENT: This position provides clerical and customer support in the property management with tasks related to WEX card transactions, Sunpass transactions and records related to the divisions vehicle fleet and mail room. State Vehicles: The incumbent coordinates the data entry of vehicle log reports for the division into the FIMS system by the 15th of each month. Contacts employees and/or supervisors as required to receive vehicle logs and/or associated backup on a timely basis. Updates vehicle profiles in FIMS, assigns pool vehicles to department employees upon request, monitors usage and assists with coordinating pool vehicle repairs and maintenance issues. Enters monthly pool vehicles usage information into FIMS.Sunpass Account: Assist with the Sunpass account management for vehicle transponders, assign transponders to the Division's vehicles, issue vehicle's transponders to employees, run a monthly utilization report on the transponders account.Mail Room: Pick up the mail every morning from the Gainesville USPS Office, using a state owned vehicle, receive all incoming mail, scan in all incoming mail packages using the Web Tracking System, stamp all outgoing mail via USPS and assists employees with any mail questions or concerns.Fiscal: Participate in the cost allocation calculation for the Divisions payroll charge object codes. Enter accurate payment information, journal transfers and accounting code to AIMS disbursements module.Performs other duties as assigned by supervisor. KNOWLEDGE, SKILLS AND ABILITIES:Knowledge and proficient experience using Microsoft Suite, to include Outlook, Word, Excel, and PowerPoint software applications. Skill in completing and maintaining accurate records. Skill in performing basic math, report writing, and writing correspondence. Ability to organize many tasks simultaneously. Ability to effectively communicate verbally and in writing. Ability to file accurately. Ability to work with other employees in a professional and courteous manner.
